Judgement, or an old reorder point

In most companies purchasing is done one of two ways: an experienced buyer looks at the stock list and uses judgement, or a reorder point set long ago triggers without anyone questioning it.

Both fail in the same direction. The fast, predictable items are followed closely, while the long tail is either over-ordered or missed entirely. And you only discover the miss when a customer does.

Sales history, stock levels and stock-outs are already in Business NXT. Purchase Assist reads them there. Nothing new to maintain.

Suggestions from what actually happened

  • History, not fixed reorder points

    The suggestions build on what was sold, what is on the shelf and what ran out, and are recalculated when the numbers change, instead of being set once and forgotten.

  • ABC/XYZ classification, automatically

    Items are graded by value and by how predictable demand is. An expensive item with uneven demand is treated differently from a cheap one that sells steadily.

  • Lead time built into the timing

    A suggestion does not just say what to order, but when. A supplier with a six-week lead time is flagged long before one you can restock from in three days.

  • Stock-outs count

    Every time something hit zero is a data point about demand you could not meet. Most systems forget them. Purchase Assist uses them.

  • The long tail gets seen

    Because the classification is automatic, the items nobody has time to watch get followed up too. That is often where the margin is.

How it works

  1. The classification runs on your history

    Value and predictability are graded per item, so no single rule has to cover everything.

  2. The suggestions stay fresh

    They are recalculated when sales, stock levels and stock-outs change. Nothing is set once and left.

  3. A buyer approves

    Nothing becomes a purchase order by itself. A person signs off every suggestion, deliberately, because fully automatic ordering is where control of working capital quietly disappears.

  4. The order is created in Business NXT

    With supplier, quantity and timing already filled in.
